Review process of the Poster session
The Wikimania 2026 Poster Session aims to highlight impactful Wikimedia projects, research, community initiatives, tools, and collaborations through visually engaging posters displayed throughout the 4 days of the conference. Posters are submitted through the official Wikimania 2026 program submission process.
The review process is two steps
Review of a poster submission proposal
Propositions of posters are submitted during the call for submissions for the program. After submission of a poster proposition, the proposition is submitted to a first review.
The review process is designed to:
- Build a balanced and engaging poster session
- Maintain alignment with the Wikimania 2026 theme and program goals
- Encourage diversity of voices and experiences
It values submissions that promote knowledge sharing, collaboration, innovation, inclusion, and practical impact within or around the Wikimedia movement.

Final acceptance decisions are communicated by the Wikimania Program team according to the overall conference timeline. Accepted presenters then receive [https://wikimania.wikimedia.org/wiki/2026:Program/Poster_session#Poster_author_instructions instructions] regarding poster templates, printing requirements, deadlines, and poster session logistics.
Review of the poster itself
The poster review process is conducted by a team of volunteer reviewers from different Wikimedia communities and backgrounds and languages.
The goal of the poster review is to
- poster submitted is coherent with the poster accepted during the submission process (same topic, authors etc.)
- poster follows the basic technical requirements (such as size/format)
- poster of an overall acceptable quality to be publicly displayed during Wikimania (image resolution sufficient for the printing size, text aligned, text big enough to be clearly legible, text proofed for typos etc...)
- poster follow the UCoC principles (does not include potentially offending content, private information etc.)
- all images are freely licensed or public domain, with the author credited, licence information added, url or short url to Commons or elsewhere added...
- poster does not infringe the rights of third parties (special attention on logos/brand from partners etc.)
- contact information is provided

Once the poster file is uploaded to Wikimedia Commons in the relevant category (c:Category:Wikimania 2026 posters), the communications regarding that poster will occur on the file's talkpage -- not via email.
It'll be the responsibility of the uploader (and/or anyone else with a vested interest in the poster's status) to pay attention to comments and communicate there.
Posters authors need to be prepared to upload a new version of the poster in the event that there are typos, missing attributions for photos, or other issues. Un-fixed posters will not be published during Wikimania.
Poster authors do not need to print or hang their posters themselves, the event organizers will take care of that. The posters will be displayed during the entire conference. It can be collected in the afternoon of the last day of the conference.
The Awards
The Awards are decided by a different committee, not involved in the Wikimania Organizing Team. This committee members reviewed all approved posters and decide on awards to deliver. The decision is made just before Wikimania and communicated to the Poster Coordinator.
Awardees are
- mentionned during the opening ceremony of Wikimania
- receive a gift (wikipedia puzzle) and signed cards for appreciation
- a picture is taken of the awardee in front of their poster
- a mention is added to the poster itself on Wikimedia Commons.
