Program

Speakers can refer to the program to find the date, time and room of their session.

Speakers with accepted sessions may continue to edit all session information on eventyay ― you can update the session title, refine the description and abstract, add speakers (who must already have a ticket for the event), add supplementary material and more. Log in to eventyay and then visit your submissions page to make edits to your accepted sessions.

Lightning talks Speakers can refer to Lightning Talk Showcase for additional information. Posters speakers can refer to Poster Session for additional information.

Session requirements

Please note the following requirements for presenting your session:

  • If submitting a poster, either you or your delegate should plan to stand by the poster during the Poster Session on Day 2 of the program (Thursday 23).
  • If doing a lightning talk, you may not have more than two speakers. Lightning talks must be delivered onsite and not in a virtual or pre-recorded format. This applies to both lightning talks throughout the program, as well as those in the Lightning Talk Showcases.
    • Lightning Case Showcase speakers are invited to join the rehearsal, scheduled over lunch time the they they will present. Lightning Case Series speakers are not concerned by this.
  • If doing a panel, you must have at least three speakers, one of whom will be moderating. Please add your speakers on EventYay
    • At least two-third of speakers must be present onsite; the last third can dial in.
    • No more than 50% of the people present at the panel may belong to the same organization.
  • If doing a workshop, at least one leader must be present onsite to facilitate with the in-person audience. Support roles can dial in.
    • Remember: it is way more difficult to facilitate a session or support in-person attendees when you are online.
  • If hosting a preconference event, organizers and attendees must register for the pre-conference event and be present onsite. Organizers may choose to add a virtual component to their preconference so that additional attendees can join online, but that is self-organized.
  • If hosting a meetup / lunch, organizers and attendees must be present onsite. Organizers can choose to add their own virtual component so that additional people can dial in, but that is self-organized.

Presentation setup

Speakers can expect to have the following in every room:

  • an A/V support team for stream and sound and video mixing, and running your slides if you choose
  • a room manager to help run Q&A and timekeep
  • a mic
  • a clicker for slides, to use if the A/V team is running your slides
  • the ability to plug in your laptop if you need to demo or if you want to run your own slides (bring your own clicker)
  • speakers will share slides or a link to their slides ahead of time via their session page on eventyay by July 19, end of day anywhere on Earth

Live interpretation

If you are in a room that offers live interpretation, you will have support in English, Arabic, French and Spanish. You can deliver your talk in any of these languages for live interpretation into the other three.

Switching languages during your session (for example during a panel) will require the interpreters to switch channels and adjust, so please be mindful to keep language transitions to a minimum. We are requesting a minimum of 3-5 minutes spoken in one language before transitioning to another language. This will help the interpreters keep up and ensure quality coverage for all your speakers.

Hybrid presentations

Based on feedback from previous years, the vast majority of sessions at Wikimania Paris will be delivered by speakers onsite, in person. Hybrid presentations will only be possible in the Amphitheater, Est, Ouest and Agora rooms. There will be no option for remote speakers to dial in rooms 2, 3, 4, C+D, Loft or Classe Numerique. We ask for your cooperation in optimizing for onsite speakers in these rooms.

Pre-recorded segments of presentations are only possible with explicit agreement from the event organizers.

Fully virtual presentations will only be possible in the Virtual Room.

Slide deck and designs

You are free to use any presentation theme you like, however, if you'd like to make your presentation Wikimania-themed, we have created an official slide deck template for Wikimania Paris and linked it on the Designs page, as well as illustrations and GIFs. We encourage you to use these elements in your materials.

Tips about slides

Your slides should support what you say, helping attendees following your point, not be the center of attention. Ask yourself, is each slide necessary?

Keep simplicity in mind:

  • Have one idea per slide and use as few words as possible on each slide
    • The smaller the font, the less legible the slide is.
  • Use simple resonating graphics and use a large enough font to be legible
  • Be consistent in style colour and language and proofread for errors
  • Avoid GIFs, fancy transitions or sound effects as they are disturbing
  • Use sufficient color contrast to help those with visual impairments
    • Absolutely avoid pale colors over a pale background
    • Prefer strong contrasts: the rendering of your slides may be paler when presented.
    • The presentation template provided has color combinations that are accessible

End with a summary slide and one that shows your audience how to contact you or further engage e.g a qr code to the work or your email address.
